Empty slots cost real money
Let's say your average appointment is worth £40. If two clients don't show up each week, that's £320 a month. Over a year, that's close to £4,000. Nobody wants that.
Send reminders (automatically)
Most people don't skip appointments on purpose. They just forget. A quick text 24 hours before ("See you tomorrow at 2pm!") is usually all it takes. You shouldn't have to send these yourself. Let your booking system handle it.
Make cancelling easy
This sounds backwards, but if clients can cancel with one tap, they're more likely to cancel in time rather than just ghosting you. The difference? If they cancel, you can fill the slot with someone else. If they just don't show up, the slot stays empty.
Set up a waitlist
If you've got people who want appointments but couldn't get one, a waitlist means cancelled slots get snapped up quickly. The system notifies the next person in line.
Be clear about your cancellation policy
Put it on your booking page. Something like "Please cancel at least 24 hours before your appointment." When people know there's a rule, they tend to follow it.
Consider deposits for longer treatments
For a 2-hour session, asking for a small deposit upfront (even a simple bank transfer) makes sense. It won't work for every business, but where it does, no-shows drop to almost zero.
